Streamline Your Onboarding Process Using the HMRC App.

30 Jul 2024

hmrc app

Gathering information from your new employees often slows down your pre-employment checks, by downloading the new HMRC app this can make your onboarding process easier! Businesses are now being advised to encourage their recruits to use the HMRC app and online services to quickly and securely share their 5-year employment and income history. This simple step can significantly speed up your onboarding process and help your new hires get started in their roles faster.

Why Download the HMRC APP?

Usually, when you ask new employees for their employment and income history, they might need to contact HMRC directly, which often results in the information being sent by post. This process can take up to 15 days, causing unnecessary delays in your recruitment process and affecting payroll.

However, with the HMRC app, your new hires can instantly access their employment information. They can download and send you a digital version or print a copy for your records.

Additional Benefits of the HMRC App

The HMRC app offers several features that make it an invaluable tool for your employees and business:

  • National Insurance Information: Your employees can quickly access a PDF version of their National Insurance confirmation letter. They can also store a digital version of their National Insurance number card in their phone wallet, ensuring they always have this information at hand.
  • PAYE and Tax Details: The app provides comprehensive PAYE and tax information, including a personalised explanation of their tax code. Helping your employees to manage their finances more effectively and reduces the number of pay-related queries you receive.
  • State Pension Forecast: Find out how much state pension you could receive based on your national insurance contributions.
  • Self-Assessment Tax: You can view your self-assessment reference number and make a payment.
  • Employment and income History: Easily find salary information and employer details for your work history over the past five years.

Steps for Employees to Access Their Information

Here’s how your employees can get started:

  1. Download the HMRC App: Available for free from the App Store or Google Play Store.
  2. Set Up the App: Follow the on-screen instructions to complete the setup. Users will need to sign in, and if they don’t already have an account, they’ll need their passport or driving licence to create one.
  3. Sign In Easily: After the initial sign-in, users can opt for facial recognition, a short PIN, or fingerprint authentication for quicker access.

Employees who don’t have an HMRC ID and password can create one on the sign-in page or search ‘HMRC online account’ on GOV‌‌‌.UK.

How to Access Employment and Income History

In the app:

  1. Open the app and view the personalised ‘Money’ screen.
  2. Select the ‘Pay As You Earn (PAYE)’ section.
  3. Choose ‘other tax years or employment history’ and scroll down to view the past 5 years.

Alternatively, employees can sign in to their HMRC online account and select ‘Pay As You Earn (PAYE)’, then ‘view and print Income Tax and Employment History’.

The PAYE section also provides access to other key employment information, including the current tax code.

Conclusion

By downloading the HMRC app, you can streamline your onboarding process, ensuring a smoother transition for your new employees. Encourage your recruits to use this resource to share their employment and income history digitally, saving time and reducing hassle.
